The Problem:
Rochford Council wanted a better service from their print and mailing supplier. They needed to cut costs and improve their billing software system – something that their previous supplier had been unable to do.
The Solution:
Familiar with the client council tax billing software platform, we reformatted the client data, adding the editing and document formatting that Rochford Council required.
How we did it:
It started with a discussion with the billing manager. We showed them some examples of council tax bills and benefit documents, so they could see the kinds of improvements we could make to their billing documents.
Once Rochford Council has sent over some test data, a data-brief and outlined their expectations, our development team could put the changes into practice. We sent back test proofs, got feedback from the council’s billing team and made the final tweaks.
The documents were now:
- Clearer and better formatted
- Easier to read
- Shorter – saving paper and printing costs
Once approved, we took live data and started annual billing for Rochford Council. They provided the data, we did the rest.
We improved:
- Tighter turnaround from data to doormat
- More efficient postal service
- More efficient personalisation, printing and fulfilment
- A simpler, clearer and easier process
What they said:
“Can I take this opportunity to say (and management agree with me) that these are the best-looking documents we have ever had produced by an external company and we are extremely happy with them, so that’s a BIG thank you to you and the team.”
